An approval chain is a workflow step that requires one or more specific people (or roles) to sign off before the request advances. You can add an approval to any step of any workflow.
To add an approval chain:
- Open Admin → Workflows and pick the workflow.
- Click the step that needs approval and open Approval settings.
- Choose the approver source: a specific user, a role (for example, "any
admin in Finance"), or a dynamic reference (the requester's manager).
- Decide the mode. Sequential requires approvals in order. Parallel
requires all approvers to respond but order does not matter. Any-of advances after the first approval.
- Optionally set a threshold — for example, approvals only kick in when the
request amount is over $10,000. Below the threshold, the step passes automatically.
- Save.
Delegates: an approver on leave can assign a delegate from Profile → Delegation. The delegate can act on the original approver's behalf until the assignment ends, and the audit log records both identities.
Rejections send the request back to the previous step by default. You can change this to "cancel on reject" per approval if the process should halt outright rather than loop.
Editing a live approval team
If you change the Approval team for a live workflow step, pending inline approvals that are already waiting at that exact step move to the new team when you save or publish. Completed decisions, legacy approval stages, and requests at other workflow steps remain unchanged. Review the active approval queue before making the change.
