Start in the Admin console under Workflows. A workflow is the named sequence of steps a request follows. Before you build one, make sure the teams that own those steps already exist under Admin → Teams.
To create a workflow:
- Open Admin → Workflows and click New workflow.
- Give it a name that matches how your team talks about the process (for example,
"Purchase order review" or "New hire onboarding").
- Add the steps in the order the request should move. Give each active step one
Owner team so people always know who acts next.
- Choose clear, human-readable status labels and confirm which steps end the
workflow, such as Approved, Rejected, or Closed.
- Save. The workflow is now available to intake forms and API requests.
Once the workflow exists, attach it to an intake form or select it when creating a request. If a step needs conditional routing or an approval chain, cover those in the routing and approvals articles. Start simple — a two-step workflow is a valid workflow, and you can extend it as your team learns what actually needs to be captured.
When you build a form, every field is ready for translation by default. Write clear labels, help text, and answer choices so people can understand the form in their selected language.
